This guide helps a Coach use the platform responsibly. It is not legal advice and does not replace a notice tailored to the Coach's business and Members.
1. Use the Coach's real legal name and contact details in the Member notice.
2. Describe the coaching purpose and every category of data the Coach collects.
3. Link to the current Approved AI Registry at /legal/ai-providers.
4. Complete a Data Protection Impact Assessment for AI-assisted health coaching.
5. Confirm the intended infrastructure and provider routes are approved for health data.
6. Keep the service 18-plus unless a dedicated minors program is completed.
7. Decide who reviews health recommendations and how Members request human review.
Add the client's current email to the client record. The platform creates a new 90-day link and revokes the previous active link for that client and form. The client must confirm that email, confirm they are 18 or older, accept the Terms, receive the privacy notices, and explicitly consent to health collection before the first question or upload.
AI is the primary product route, but it is not inferred from silence or a preselected control. The client makes one explicit choice between health plus AI use and health-only manual coaching. Do not copy a manual client's answers into another AI tool. When the same verified email later creates a Member account in the same workspace, the platform links the active choice and preserves the original pre-account evidence.
Do not send a health form until the Coach's legal name, contact address, coaching purposes, data periods, and client terms are accurate. The platform notice does not replace the Coach's own controller notice or professional duties.
"This service uses an AI assistant. It is not a human, doctor, or emergency service. Messages, files, relevant coaching records, and selected connected-service data may be sent to an approved AI inference provider to generate a response. AI output may be incomplete or wrong and does not replace professional medical advice, diagnosis, or treatment. I review a material health recommendation before it affects your coaching."
Primary action: "I explicitly agree that [Coach legal name] can collect and use my health and lifestyle data for the coaching I requested, and that the platform and approved AI providers at [registry link] can process relevant data for the disclosed coaching functions. I can withdraw through [exact control] or by contacting [address]."
Secondary action: "I explicitly agree that [Coach legal name] can collect and use my health and lifestyle data for manual coaching, without AI processing. I can withdraw through [exact control] or by contacting [address]."
Show both statements before the decision, make neither preselected, and keep the manual route visible. One button press can be the affirmative act when its exact effect is clear. Record the wording version, Member, time, each granted kind, controller identity snapshot, and withdrawal. Do not hide the AI choice in general Terms acceptance.
A Coach must review health indicators, risk flags, and material health recommendations before acting on them. Do not let AI alone decide access, pricing, suspension, treatment, or another similarly significant outcome. Give the Member a clear way to ask for a person and contest an AI-assisted assessment.
Do not switch on a model because it is cheaper, popular, or visible in a catalog. Make sure that the Approved AI Registry permits the exact model and final inference provider. Tell Members before a new provider makes a material processing change. Get new consent if the original consent does not cover that change.
The anonymous embed is for general, non-sensitive questions only. Do not ask visitors for health information or let them upload sensitive files. Move an identified person into the Member portal and complete consent before health coaching begins.
Include this in the Coach's notice: "Our coaching software provider may access my data, and enter my account view, only to provide requested support or investigate security. Access is restricted and recorded where the product supports it."
